5 Signs Your QuickBooks File Needs a Cleanup

Quick answer

Your QuickBooks file probably needs a cleanup if your reports do not match your bank, you have large uncategorized or suspense balances, transactions are duplicated or missing, accounts have not been reconciled for months, or your accountant cannot use the file at tax time.

11. Your reports do not match your bank

Open your bank balance and your QuickBooks balance for the same account on the same date. If they are different and you cannot explain why, something is wrong. It might be a missed deposit, a duplicate entry or an account that was never reconciled.

This is the clearest warning sign. If the balance is wrong, every report built on it, including profit and loss, is also unreliable.

22. Large uncategorized or suspense balances

Accounts like Uncategorized Expense, Uncategorized Income, Ask My Accountant or Opening Balance Equity are meant to be temporary. Large or growing balances in them mean transactions were never sorted properly.

Tip

A small leftover balance is normal. A balance in the thousands that has sat there for months means your profit and loss is not telling the truth.

33. Duplicate or missing transactions

  • The same deposit appears twice after a bank feed and a manual entry
  • A payment is missing because it was never imported
  • Transfers between accounts are recorded as income and expenses
  • Credit card payments are counted as expenses

Each of these changes your income, expenses or both. Over a year, small errors add up to numbers you cannot rely on.

44. Accounts have not been reconciled for months

Reconciliation is the check that proves your books match the bank. When it is skipped, errors pile up quietly. The longer the gap, the harder it is to find where things went wrong.

If you have not reconciled in three months or more, it is worth fixing before it grows.

55. Your accountant cannot use the file

When your tax preparer asks for the same records again, sends back a long list of questions, or says the file needs work before they can start, that is a sign. Clean books should need only a normal review.

Many owners find this out in tax season, when time is short and fixing the file costs more in stress.

6What to do next

  • Note which of the five signs apply to you
  • Gather bank and credit card statements for the months involved
  • Do not delete anything or make big changes in the file yet
  • Ask a bookkeeper to review the records and quote the cleanup

If you are not sure, you do not have to decide alone. A short review of your statements usually shows how much work is needed, and a fixed quote tells you the cost before anything starts.
