Why Your QuickBooks Balance Does Not Match Your Bank (and How to Fix It)

Quick answer

Your QuickBooks balance and bank balance differ when transactions are missing, duplicated, entered wrongly or not yet cleared. Reconciling compares your books to the bank statement line by line so you can find and fix the difference.

1Why the balances differ

  • A transaction is in the bank but not in QuickBooks, or the other way around
  • A deposit or payment was entered twice
  • An amount was typed wrongly, such as swapped digits
  • A check or transfer has not cleared yet
  • Bank fees or interest were never recorded
  • The account has not been reconciled for months

2How to reconcile in QuickBooks Online

  • Open the Reconcile page and choose the account
  • Enter the statement ending date and ending balance from your bank statement
  • Tick each transaction that appears on the statement
  • Check that the difference shown is zero
  • Finish and save the reconciliation report

The goal is a difference of zero. If it is not zero, something is missing or wrong.

3What to do if it will not balance

  • Check that the statement date and ending balance are correct
  • Look for a transaction that is exactly the amount of the difference
  • Check for amounts split into two, or double the difference, which suggests a duplicate
  • Look for transfers recorded as income or expenses
  • Check that the opening balance matches the previous statement
Tip

Do not use the adjustment option to force the difference to zero. That hides the problem. Find the cause, and use an adjustment only for a small, understood item.

4Why monthly reconciliation matters

Reconciling every month proves your records match the bank. Errors are found while they are fresh and cheap to fix. Without it, small mistakes pile up, reports become unreliable and cleanup costs grow.

5When to get help

If the difference is large, goes back several months or you cannot find the cause, a bookkeeper can review the account line by line. We investigate differences instead of forcing accounts to balance, and we document what we find.
