What Is Bookkeeping? A Simple Guide for Small Business Owners

Quick answer

Bookkeeping is the day-to-day work of recording, categorizing and checking every transaction your business makes, so your financial records are accurate and ready when you need them.

1What bookkeeping includes

Bookkeeping is the routine financial work that sits behind every business decision. It is not forecasting or tax strategy. It is making sure the facts are recorded correctly.

  • Recording income from customers and sales
  • Recording expenses, bills and purchases
  • Categorizing each transaction into the right account
  • Reconciling bank and credit card accounts to statements
  • Tracking what customers owe you and what you owe
  • Producing basic reports such as the profit and loss

2Why it matters

Accurate books tell you whether your business is making money, how much cash you really have and what you can safely spend. They also make tax time faster, support loan applications and protect you if records are ever questioned.

Tip

If you cannot say what you earned last month without guessing, your bookkeeping is not doing its job yet.

3How often should it be done?

Little and often beats a big pile at year-end. Most small businesses should have transactions recorded weekly or monthly and every account reconciled once a month. A monthly close means each month is finished soon after it ends.

4Software or spreadsheet?

A spreadsheet can work for a very small business with few transactions. As soon as you have several accounts, invoices or employees, accounting software such as QuickBooks Online saves time and reduces errors. It connects to your bank, stores records and produces reports automatically.

5Doing it yourself or hiring help

Many owners start by doing their own books and hand them over when time becomes the problem. Signs it is time: you are behind, you avoid the books, or you are not sure the numbers are right. Handing it to a bookkeeper gives you time back and more reliable numbers.
