What a Monthly Bookkeeping Close Includes (and Why It Matters)

Quick answer

A monthly close finishes your books for the month. It includes categorizing every transaction, reconciling all bank and credit card accounts, reviewing unusual items, checking payables and receivables, and producing a profit and loss and balance sheet you can rely on.

1What a monthly close is

Closing the month means your records for that period are complete, checked and ready to report. It is the difference between books that are updated now and then and books you can trust at any time.

At Profit Path Solution, we aim to close your books by the 10th of each month, with accuracy first.

2The close checklist

  • Import and categorize all transactions from bank and card feeds
  • Reconcile every bank and credit card account to its statement
  • Review uncategorized and unusual transactions and ask you about them
  • Record or check bills, invoices and payments
  • Review payroll entries, if payroll is included
  • Check that loan, tax and owner transactions are recorded correctly
  • Review the profit and loss and balance sheet for errors
  • Send your monthly reports with notes on what changed

3What you should receive

  • A profit and loss for the month
  • A balance sheet as of month end
  • A short summary of what changed and why
  • A list of any questions we still need you to answer
Tip

If you are not receiving reports each month with some explanation, you are paying for data entry, not for understanding.

4Why the 10th

Bank statements are complete a few days after month end, and a good close needs time to review and ask questions. Closing by the 10th gives you current numbers while the month is still fresh, without rushing the checks that make the numbers accurate.

5What you do to help

  • Keep receipts and notes for unusual transactions
  • Answer questions about unclear items within a few days
  • Tell us about new accounts, loans or big purchases
  • Review the reports when they arrive

A few minutes from you each month keeps the whole process smooth. Small, regular effort replaces large cleanups later.
