To catch up on behind bookkeeping, gather every bank and card statement, work month by month from the oldest, categorize transactions, reconcile each account, investigate anything unclear and then set up a monthly routine. The key is to go in order and reconcile as you go.
1First, do not panic
Being behind is common, and it is fixable. Whether it is three months or three years, the process is the same: collect, sort, reconcile and review. Do not delete anything or start a new file. The history is useful and can be repaired.
2Step 1: Gather your records
- Bank and credit card statements for every account
- Loan statements
- Payment platform reports (Stripe, PayPal, Square)
- Invoices, bills and receipts you can find
- Payroll reports, if you pay employees
Missing statements can be downloaded from your bank. Start with the oldest month that has not been finished.
3Step 2: Work month by month
Start with the oldest unfinished month and finish it completely before moving on. Categorize each transaction, match it to a record where possible and reconcile the account to the statement.
Do not categorize everything and reconcile at the end. Reconciling each month as you go catches errors while they are small.
4Step 3: Handle the unclear items
You will find transactions you do not recognize. Mark them, make a list of questions and ask the owner or the people involved. Guessing here creates errors that are hard to spot later.
- Unknown deposits: check customer payments and transfers
- Round-number withdrawals: often owner draws or loans
- Personal spending: separate it from business
5Step 4: Review the reports
When all months are done, read the profit and loss and balance sheet. Look for expenses that seem too high or low, accounts with odd balances and income that does not match your sales.
6Step 5: Stay current
The point of catching up is to avoid falling behind again. Set a monthly routine or hand the monthly work to a bookkeeper so each month is closed soon after it ends.
If the backlog is large, a professional cleanup is often faster and more accurate. We review your statements first and give a fixed quote before any work begins.
